The short version
- Job seekers never pay, so there is nothing to refund.
- Employers can cancel Employer Access at any time and keep access until the end of the paid month.
- We don't refund part-months, but we always refund mistakes — such as a double charge or a charge after you cancelled.
1. Job seekers
ElderBirch never charges job seekers anything, so there is nothing to cancel or refund. If someone took money from you in ElderBirch's name, it was not us: please report it to us and to the police.
2. How Employer Access is billed
Employer Access costs R 250.00 per month, billed monthly in advance by card through PayFast. It renews every month on the same date until you cancel.
3. How to cancel
- Log in as the main account holder and open Employer dashboard → Subscription.
- Choose Cancel subscription and confirm.
You can also email elderbirch@outlook.com from the account holder's email address. Cancelling stops all future payments straight away. If the cancellation cannot reach PayFast at that moment, we retry automatically — and refund any payment taken after you cancelled.
4. What happens to your access
You keep full access until the end of the period you have already paid for. After that, your company profile and vacancies stay in your account but are no longer public, and candidate details are locked again. You can subscribe again at any time.
5. No refunds for part-months
Because access starts immediately and you can cancel at any time, we do not refund or credit unused days in a month that has started. Under section 42(2)(d) of the Electronic Communications and Transactions Act, the seven-day cooling-off right does not apply to a service that starts immediately at your request.
6. When we do refund
We refund the payment in full if:
- you were charged twice for the same period;
- you were charged after you cancelled;
- you were charged an amount different from the price shown when you subscribed (or the price we gave you notice of);
- you could not use Employer Access for a substantial part of a paid month because of a fault on our side; or
- the law, including the Consumer Protection Act where it applies to you, requires it.
Refunds are paid to the card used, through PayFast, or by EFT to the company's verified bank account.
7. Failed payments
If a monthly payment does not go through, we email the account holder. Your access continues for 3 days so that you can update your card; after that it pauses until a payment is received.
8. Suspension for breach
If access is suspended because the employer subscription terms were breached — for example harvesting candidate data, asking candidates for money or posting fake vacancies — no refund is paid for the remainder of the period.
9. Full-service recruitment
Fees for full-service recruitment are governed by the written placement terms agreed before the search begins, including any replacement or refund provisions in those terms.
10. How to ask for a refund
Email elderbirch@outlook.com with your company name, your employer reference (it starts with EB-E and is shown in your dashboard), and the date and amount of the payment. We will confirm the outcome in writing.
